Administrative Officer - Contracts

Be at the heart of delivering critical infrastructure and community projects by supporting Council’s Engineering Contracts team and ensuring the smooth administration of contract and tender processes. This pivotal role manages Council’s Contract Management Database and online tendering platform, helping drive efficient procurement, strong governance, and successful project outcomes that benefit the community.

About the role:

  • Provide vital administrative support to the Engineering Contracts team, helping coordinate activities and ensure key operational deadlines are achieved.
  • Working alongside our Project Managers to maintain and administer Council’s Contract Register, Contract Management Database and online tendering platform, supporting effective contract governance and procurement processes.
  • Liaise with suppliers, contractors and internal stakeholders, delivering professional customer service and accurate information on contractual matters.
  • Assist with a broad range of clerical and administrative functions across the Engineering Division, contributing to the smooth delivery of projects and services.
  • Review, verify and process Contract Plant & Equipment and Traffic Control claims in accordance with contracted schedules of rates, requiring a high level of accuracy and attention to detail.

We are seeking:

  • A motivated professional with a Certificate III in Business Administration (or a related discipline) and demonstrated experience providing high-quality administrative support.
  • An understanding of contract documentation and tendering processes is highly desirable, as the successful candidate will assist the team with procurement related documentation.
  • Strong proficiency in Microsoft Office Suite and the ability to quickly learn and utilise a range of contemporary business systems and applications.
  • A highly organised team player with proven ability to manage competing priorities, maintain accuracy and contribute positively within a collaborative work environment.
  • Excellent written and verbal communication skills, with the ability to build positive relationships and communicate with a diverse range of stakeholders

Where it's located:

This position is based in Murwillumbah and can be directed to work from any Council work site.
