The Opportunity
This is a newly created Executive Assistant position within the Office of the General Manager, established to strengthen executive support at the highest level of the organisation.
Reporting to the General Manager, you will provide dedicated, high-level support to the General Manager and Lord Mayor in a fast paced, high trust and politically sensitive environment. You will be an experienced Executive Assistant who enjoys operating at the centre of decision making and enabling executive leaders to perform at their best.
You will be part of a small, highly capable executive support team that operates as one team. You will have a strong executive presence, sound judgement and confidence engaging with senior stakeholders including Councillors, executive leaders, government representatives and community members. You will be highly visible, be an exceptional communicator and trusted to manage competing priorities with discretion, professionalism and integrity. Flexibility is essential. The nature of the position includes attendance at meetings, civic functions and events that may occur outside standard business hours
This is a permanent full time 35 hour per week position. Salary from : $101,912 up to $119,764 per annum plus superannuation (Salary package will be assessed based on skills, experience and qualifications). A minimum increase of 3.25% to the salary from 1 July 2026 as per Council's Enterprise Agreement.
How you'll make a difference
Key responsibilities include:
- Providing high level confidential executive and administrative support to the General Manager and Lord Mayor
- Managing complex diaries, appointments, meetings and travel arrangements
- Coordinating correspondence, Councillor requests, MP correspondence and executive enquiries
- Preparing briefings, agendas, reports, presentations and correspondence
- Coordinating executive meetings, civic functions, citizenship ceremonies and events
- Building trusted relationships with internal executive leaders, Councillors and external stakeholders
- Exercising sound judgement to prioritise competing demands and resolve issues calmly and professionally
- Supporting special projects through research, analysis and information preparation
- Managing records, procurement and financial administration in accordance with Council policies and systems
About you
You are a highly organised, professional and proactive Executive Assistant with proven experience supporting leaders at the most senior level within large and complex environments. You are comfortable operating with autonomy, maintaining confidentiality and managing competing priorities without losing attention to detail.
You will bring:
- Significant experience providing executive support to senior managers, executives or a CEO
- Experience working in government or a similarly complex, accountable environment, or strong capability to quickly adapt to one
- Exceptional organisational skills and the ability to reprioritise calmly under pressure
- Highly developed written and verbal communication skills
- A strong understanding of discretion, confidentiality and political sensitivity
- Confidence engaging with stakeholders at all levels and representing Council professionally at all times
- A collaborative, team focused approach and willingness to step in wherever support is needed
